HapiCare, Inc., doing business as HapiCare ("HapiCare," "we," "us," or "our"), recognize the importance of protecting personal information. This Privacy Policy explains how HapiCare collects, uses, safeguards, and shares information from customers, visitors, and authorized users (collectively, "Users") through or in connection with the HapiCare platform, applications, websites, and related services (collectively, the "Platform" or "Services").
HapiCare is an AI-native Medical Staff Operations platform that consolidates credentialing, privileging, policy governance, workforce scheduling, clinical education, and continuing medical education (CME) into a single interoperable system for healthcare organizations. By accessing or using the Platform or Services, you agree to the practices described in this Privacy Policy and the applicable Terms of Service.
1. Relationship and Roles
In most cases, Users access the Services through a contractual relationship between HapiCare and a healthcare organization, hospital, or healthcare network (the "Customer"). The Customer acts as the data controller, and HapiCare acts as a data processor, processing personal information solely on the Customer’s instructions and pursuant to applicable agreements, including Data Processing Agreements (DPAs) or Business Associate Agreements (BAAs), where required.

2. Information We Collect
2.1 Personal Information
We may collect or process personal information provided by Customers or Users, including:
Account and contact details (name, business email address, phone number, role, organization)
Professional information such as licenses, credentials, privileging records, specialties, certifications, training history, and CME records
Workforce and operational data, including schedules, availability, and assignments
Policy acknowledgements, attestations, audit logs, and compliance records
Communications with HapiCare support or administrators
You are not required to provide personal information; however, failure to do so may limit access to certain features of the Services.
2.2 Information Collected Automatically
When you access or use the Platform, we may automatically collect information such as:
IP address, browser type, operating system, and device identifiers
Log files, access records, and audit trails
Usage data and performance metrics
Cookie and similar tracking data
If automatically collected data is linked to an identifiable individual, it is treated as personal information.
2.3 Financial Information
HapiCare does not collect or store credit card information directly through the Platform. Where applicable, limited banking or payment-related information may be processed to facilitate payments between Customers and Users, subject to contractual obligations and applicable law.
3. Use of Information
HapiCare uses collected information for the following purposes:
To provide, operate, maintain, and support the Platform and Services
To enable credentialing, privileging, scheduling, education, CME, and compliance workflows
To apply AI-driven automation, analytics, and operational insights
To monitor security, system integrity, and performance
To communicate with Customers and Users regarding service updates, support, and administrative matters
To comply with legal, regulatory, and contractual obligations
We process personal information based on one or more of the following legal grounds, as applicable: performance of a contract, compliance with legal obligations, legitimate interests, or consent.
4. AI and Automated Processing
HapiCare uses AI-enabled features to support administrative workflows and operational efficiency. AI outputs are informational and advisory only and do not constitute medical, clinical, or diagnostic advice. Customer data is not used to train generalized or third-party AI models unless explicitly agreed in writing.
5. Sharing of Information and Third Parties
We may share personal information for legitimate business purposes in the following circumstances:
With service providers and subprocessors that perform services on our behalf, subject to confidentiality and security obligations
With Customers and their authorized Users, in accordance with Customer instructions
To comply with applicable laws, regulations, legal processes, or lawful government requests
To protect the rights, safety, and security of HapiCare, Users, Customers, or the Platform
In connection with a corporate transaction such as a merger, acquisition, or sale of assets
No mobile information will be shared with third parties/affiliates for marketing/promotional purposes. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
6. Data Retention
HapiCare retains personal information for as long as necessary to fulfill the purposes described in this Privacy Policy, comply with legal and regulatory requirements, resolve disputes, and enforce agreements. Data retention, deletion, and return are governed by Customer contracts.
7. Security of Information
We implement administrative, technical, and organizational safeguards designed to protect personal information against unauthorized access, disclosure, alteration, or destruction. While we take reasonable measures to secure data, no method of transmission or storage is completely secure.
8. Children’s Privacy
The Platform and Services are not intended for individuals under the age of 18. We do not knowingly collect personal information from children. If such information is identified, it will be deleted promptly.
9. International Data Transfers
HapiCare may process and store information in North America and other jurisdictions where it or its service providers operate. Appropriate safeguards are implemented to protect personal information in accordance with applicable law.
10. Cookies and Tracking Technologies
HapiCare uses cookies and similar tracking technologies on its websites and marketing pages to operate the Platform, analyze usage, and improve user experience. Cookies may include essential cookies required for functionality, analytics cookies to understand site usage, and preference cookies to remember user settings. You may control cookies through your browser settings. Disabling cookies may impact certain features of the Platform or website.
HapiCare does not use cookies to sell personal data or to engage in cross-context behavioral advertising.
